The operational reality

Growth should increase capacity—not confusion.

Most businesses do not have an effort problem. They have work moving through informal processes that were never designed for their current size.
01

Your team relies on memory, messages and manual follow-up.

02

The owner must chase information before work can move.

03

The same information is copied between disconnected tools.

04

Growth creates more administration instead of more capacity.

What does a business systems consultant do?

A business systems consultant studies how your business actually runs, finds where work stalls, repeats or depends on one person, and redesigns that process before any software is chosen. The result is a clearer workflow supported by the right mix of process change, custom business management systems, dashboards and automation.

What is a Business Systems Audit?

It is a structured review of how work enters, moves through and leaves your business — leads, sales, onboarding, operations, staff workflows, reporting and payments. You finish with a prioritised roadmap of what to fix, what to automate and what is worth building. It is where most of our engagements begin.

What we solve

The right system for the work—not more software for its own sake.

We start with the business outcome, then choose the simplest useful combination of process design, technology, automation and AI.

01

Business Systems Audit

A structured review of how work actually moves through your business — from enquiry to delivery to payment. You end with a practical roadmap rather than a list of software suggestions.

  • Process mapping across sales, operations and admin
  • Bottleneck and duplication analysis
  • Automation and system opportunities, prioritised
  • A written roadmap you can act on

02

Business Process Automation

Most teams lose hours to the same handful of repeated steps: chasing updates, re-typing information, sending the same messages, compiling the same reports. We redesign those flows first, then automate what should be automated.

  • Lead capture and follow-up sequences
  • Job, task and approval routing
  • Automated reminders and status updates
  • Recurring reports assembled without manual work

03

Custom Business Applications

When off-the-shelf software forces your team into someone else's process, the process usually loses. We build tools shaped around how your business already operates — and only where a tool is genuinely the right answer.

  • Internal operations tools
  • Staff and client portals
  • Job, order and service tracking systems
  • Record keeping that replaces scattered spreadsheets

04

AI Automation

AI is used where it measurably reduces manual work — drafting routine replies, summarising information, sorting enquiries, preparing reports. It is applied deliberately, with human oversight where judgement matters.

  • Enquiry triage and first-response drafting
  • Summarising documents, notes and conversations
  • Information extraction from messages and forms
  • Assisted reporting and internal knowledge search

05

Operations Dashboards & CRM Systems

One place to see jobs, clients, staff activity and money movement — so decisions are based on what the business is actually doing, not on who replied fastest.

  • Customer and pipeline management built to your process
  • Daily operations visibility for owners and managers
  • Team activity and accountability views
  • Reporting that updates itself

Our method

Understand first. Build second. Improve continuously.

A disciplined five-step approach keeps technology connected to the real work and the people responsible for it.
  1. 01

    Diagnose

We sit with how the business actually runs today — who does what, where information lives, where work stalls and what gets repeated. Nothing is designed before this is clear.

  2. 02

    Design

We map how the work should move, then decide what is required to support it. Sometimes that is a process change rather than a piece of software.

  3. 03

    Build

We build what the design calls for — a custom application, a CRM, a dashboard, or a configured set of existing tools — and set it up around your team.

  4. 04

    Automate

Repetitive steps are connected and automated so routine work happens on its own, consistently, without someone remembering to do it.

  5. 05

    Optimize

Systems age as businesses change. We review what is working, adjust what isn't, and keep the system useful as the business scales.

Founder perspective

“I learned systems as an operator—because a growing service business cannot run well on effort alone.”

Meet Kafayat Olaitan

Kafayat grew a service-based business to multiple figures in Nigeria and experienced the operational pressure that appears when a business grows faster than its systems.

Her work combines that practical experience with her background teaching marketing and human psychology, her commitment to organised productivity, and her continuing study of business.

Today, she finds fulfilment in solving business problems with clearer systems and practical AI—always beginning with how the organisation and its people actually work.

Business-first thinking

We understand that the goal isn't to have more software. The goal is to make the business work better.

Custom-built solutions

We don't force every business into the same template.

Practical automation

We automate tasks where automation genuinely improves the workflow.

Owner visibility

We design systems that help business owners see what is happening across their operations.

Proof of work

From business problems to working systems.

Selected systems we have designed and built for operating businesses — documented by the problem they solve, not by the technology behind them.

Cleaning Services

Smart Cleaners Partner

A business management system for cleaning companies — not a booking app. It gives the owner one place to see where enquiries come from, which jobs are running, who is doing them, what has been earned and what customers are saying.

Facility Management

CleanOps — Operations Management System

An operations management system for a facility management company whose owner is not always on the ground. It was built so the business could be understood, supervised and measured remotely — across staff, sites, jobs, money and quality.

Domestic & Maid Services

Maid Service Operations System

A staff-facing operations system for a maid service, built around the real bottleneck in that kind of business: getting new cleaners trained, consistent and accountable without the owner repeating herself every week.

Connected operations

One operating system across the business.

A complete business automation can connect the major parts of an organisation so information enters once, moves with the work and remains visible to the people who need it.

Marketing & lead flow

Bring enquiries, lead information and follow-up into one visible process instead of scattered messages.

Service delivery

Create a clear path from onboarding to assignment, delivery, quality control and completion.

Team operations

Give people defined workflows, responsibilities, records and the information required to do the work.

Management visibility

Connect operational information so owners and leaders can understand activity without chasing every update.

The recommended starting point

A Business Systems Audit turns operational noise into a clear plan.

We review how work enters, moves through and leaves the business—then identify the bottlenecks, risks, duplication and automation opportunities worth addressing first.

What you leave with

  • A clear view of where work slows down or becomes dependent on one person.
  • A prioritised roadmap for process, system and automation improvements.
  • Recommendations grounded in your current team, tools and stage of growth.

Useful answers

Before we work together.

What does a business systems consultant do?

A business systems consultant studies how a business actually operates, finds where work stalls or gets repeated, and then redesigns the process before any technology is chosen. The output is usually a clearer workflow, supported by the right combination of process changes, custom business management systems, dashboards and automation.

What is a Business Systems Audit?

It is a structured review of how work moves through your business — lead generation, sales, onboarding, operations, staff workflows, reporting and payments. You receive a practical roadmap showing what is slowing the business down, what should change, what can be automated and what technology is worth building.

What is the difference between business automation and AI automation?

Business process automation removes manual steps using rules: a form creates a job, a job triggers a reminder, a completed job updates a report. AI automation handles work that needs interpretation — drafting a reply, summarising a long report, sorting messy enquiries. Most businesses need the first far more than the second, and the two are usually combined.

How do I know if my business needs a custom system?

If your team keeps information in several disconnected places, if you find out about problems days later, or if answering a simple question about the business means asking three people, the operation has outgrown its tools. A custom business management system is worth it when your process is a competitive strength and off-the-shelf software forces you to abandon it.

Where are you based and who do you work with?

The consultancy is based in Lagos, Nigeria, led by Kafayat Olaitan, and works with growing service businesses in Nigeria and internationally — remotely where needed.

Do you build custom business applications?

Yes. We design and build internal tools, dashboards, portals and operations systems around how your business actually works — but only after the process behind them is clear.

What types of businesses do you work with?

Growing service-based businesses with staff and repeatable operations: cleaning and facility management, construction, logistics, schools, clinics, professional services, agencies and other growing SMEs.

Can you automate processes that currently run through WhatsApp?

Often, yes. WhatsApp is useful for conversation but poor for record keeping. We usually keep the conversation where your customers already are and move the record keeping, tracking and follow-up into a system that can be measured.

Do you only provide AI automation?

No. AI is one tool among several. Many operational problems are solved by a clearer process, a better record system or a simple dashboard. AI is applied where it genuinely reduces repetitive work.

Can you improve an existing system instead of building a new one?

Yes. If your current tools can be configured, connected or extended to do the job, that is usually faster and cheaper than replacing them.

How do I know what parts of my business should be automated?

That is what the Business Systems Audit answers. Automating a process that is badly designed only makes the problem faster, so we look at the process first and the automation second.

Do you work with businesses outside Nigeria?

Yes. The consultancy is based in Lagos, Nigeria and works with businesses elsewhere remotely.
